Purpose and Legal Basis for Processing

EnergyDataDK is a research data-sharing platform operated by DTU to facilitate secure discovery, access, sharing, and governance of energy-related data and associated digital services.

DTU processes your personal data for the following purposes:

  • To register and manage your access to EnergyDataDK.
  • To document and manage your consent where applicable.
  • To ensure the secure and reliable operation of the EnergyDataDK platform.
  • To monitor service performance, identify and resolve technical issues, and maintain information security.
  • To develop, improve, and enhance EnergyDataDK services and functionality.
  • To investigate security incidents, misuse, or disputes related to the platform.

The legal basis for the processing of your personal data is Article 6(1)(e) of the General Data Protection Regulation (GDPR), as the processing is necessary for the performance of a task carried out in the public interest by DTU.

Categories of Personal Data

DTU processes the following categories of personal data:

Registration and Account Information

When you register for, and use EnergyDataDK, DTU processes:

  • Name
  • Email address

Usage and Access Information

When you access and use EnergyDataDK, DTU processes:

  • IP address of the accessing client
  • Date and time of access
  • Information about datasets, services, and resources accessed
  • User activity logs related to the use of the platform

This information is collected to ensure system security, maintain service quality, and support platform operations.

Sharing of Personal Data

Personal data may be processed by authorized DTU employees who require access to perform their duties related to the operation, maintenance, security, and administration of EnergyDataDK.

In cases where DTU engages external service providers acting as data processors, such processing will take place under appropriate data processing agreements and in accordance with applicable data protection legislation.

Sharing with third-parties

DTU may use external service providers acting as data processors on behalf of DTU. Such processors are contractually bound to process personal data only on DTU’s instructions and in compliance with applicable data protection legislation.

Retention Period

DTU retains personal data only for as long as necessary to fulfil the purposes described in this Privacy Policy and in accordance with DTU’s records management and retention requirements.

  • User activity logs and access records are retained for up to 12 months.
  • User account information, including name and email address, is retained for up to 12 months or until the account is deleted, unless a longer retention period is required by law or DTU’s internal governance requirements.

Your rights as a data subject

Under the General Data Protection Regulation (GDPR), you have a number of rights regarding DTU’s processing of your personal data. Depending on the circumstances, these rights include:

  • The right of access to your personal data.
  • The right to rectification of inaccurate or incomplete personal data.
  • The right to erasure of personal data.
